EXFO OTDR Rental: A Cost-Controller’s Checklist for the EXFO FTB 1 Pro

If you sign rental purchase orders for fiber test equipment, this is for you. I’m a procurement manager at a mid-sized fiber contractor, and I’ve spent the last six years managing test-gear procurement. In that time, I’ve tracked roughly $180,000 in rental and purchase spending. The expensive mistakes weren’t the big invoices. They were the missing launch cable, the expired calibration cert, and the rental week that turned out to be five business days.

This checklist is for the person who approves an EXFO OTDR rental—especially one built around the EXFO FTB 1 Pro platform. It has six steps, and it should take about 20 minutes to run through before you sign anything.

Why the Quote Needs More Than a Daily Rate

EXFO’s product documentation describes the FTB-1 Pro as a modular field platform. That’s the first thing to understand. The FTB-1 Pro is the base; the OTDR module plugged into it is what actually tests your fiber. A search for “EXFO OTDR rental” will often show you a platform price before you know which module is included. In my experience, that’s the first red flag.

A rental quote can look fair on the daily rate and still blow your budget in hidden costs. Total cost of ownership (meaning the final total after shipping, insurance, calibration, and late-return fees) is the only number that matters. I compare every quote in a spreadsheet before I approve a PO. It’s saved us more than once.

The 6-Step EXFO FTB 1 Pro Rental Checklist

Step 1: Confirm the OTDR Module and Wavelengths

The first question to ask is not “how much” but “which module.” If you’re testing single-mode fiber, you probably need a 1310/1550 nm or 1310/1550/1625 nm OTDR module. Multimode fiber needs a separate module with 850/1300 nm wavelengths. A great price on the wrong module is no saving at all, because the technician will discover it on site, not at your desk.

Ask the rental house to write the exact module, wavelengths, connector type, and accessories in the quote. If they can’t identify the module, that is a deal-breaker.

Step 2: Build a Rental TCO Spreadsheet

I know “TCO” sounds like consultant talk, but it applies to a two-week rental too. Set up three columns: the base daily rate, the full cost with delivery and insurance, and the total if you return the unit one day late. That last number matters more than most people think.

The first time I compared an established rental house to a local supplier, I went back and forth for two weeks. The local supplier was about 15% cheaper on the base rate. The established house had a guaranteed replacement unit if something failed. I ultimately chose the established house because the deadline was too important to gamble. There is nothing wrong with the cheaper option if you have schedule slack. But know what you’re trading before you make the call.

Step 3: Verify Calibration and Telcordia GR-196-CORE

An OTDR is only as useful as its last calibration. A “calibrated” sticker with no lab name doesn’t prove anything. I ask for the actual certificate and check the date before approving the order. For OTDRs, the relevant industry standard is Telcordia GR-196-CORE. If the rental vendor doesn’t know what that refers to, I won’t risk a project on their equipment.

This is also where the “cheap” option usually costs you. A low daily rate might include a unit that hasn’t been recalibrated recently or never tested under field conditions. The $20 savings per day turns into a $1,200 rework when the trace data doesn’t hold up.

Step 4: Audit Every Item in the Case

Open the case before the tech leaves the staging area. I’m serious—way more than one rental has arrived short of a launch cable, a set of hybrid patch cords, or a cleaning kit. In Q2 2024, we booked an FTB-1 Pro for a three-day verification. The case looked complete from the outside. It was missing the 100-meter launch cable we needed for accurate dead-zone testing. The rental fee wasn’t the problem; the rescheduled labor was.

Ancillary tools matter too. If the job includes continuity checks or AC voltage testing, add a Fluke 117 multimeter to the list. If you’re working near outdoor cabinets with active cooling, check whether a thermal-management unit is already in place. Some vendors list enclosure climate gear under “top therm” or “thermal management” categories, and Rittal TopTherm is one common example. Those are different budget lines, but planning them now is cheaper than processing a second emergency PO later.

Step 5: Confirm the Return Window in Writing

Rental weeks are not automatically seven days. Some rental houses define a week as five business days; some start the clock at pickup; some have a cut-off time that is earlier than you’d expect. Ask for the return date and time in writing. Also ask what happens if the tech finishes early or late.

Looking back, I should have asked about after-hours returns before our first after-hours emergency. At the time, a “standard return window” seemed clear. It wasn’t. The late fee was high enough to wipe out the savings from the entire rental. Now every PO includes the return deadline and the procedure for dropping the unit back.

Step 6: Run a 10-Minute Acceptance Test

This is the step most people skip, and it is the one that catches real problems. Before accepting the unit, have the tech connect it to a known fiber and run a quick trace. Check the event dead zone, the loss reading on a known splice, and the battery level. On three separate rentals, this ten-minute test caught a bad connector, a wrong wavelength setting, and a battery that would have died in the field.

Jackie, our senior technician, is the reason this is a rule. She once watched a vendor blame a “bad OTDR” for a trace that was actually caused by a dirty adapter. After cleaning the connection, the unit worked perfectly. Now she refuses to sign the acceptance form until she runs the trace herself. Jackie’s rule is simple:

“I don’t sign for a rental until I have seen a clean trace on a fiber I know.”

So glad we have that rule now. I almost trusted the “complete kit” label more than once—and the one time I didn’t was the time it saved us.

What Most People Forget

The most frustrating part of OTDR rentals is that the same issues keep recurring despite clear checklists. You’d think a rental house would pack the same way every time, but each quote still needs a line-by-line review. People compare daily rates instead of total cost, trust the sticker on the case, and forget that a complete kit is a quality issue, not just a logistics issue.

Here’s how I think about it. The test equipment is the last thing the client sees before you hand over the results. A trace file full of ghost events, or a technician who has to explain why the tool didn’t work, makes the whole company look unprepared. That $50 launch cable or $100 cleaning kit is nothing compared to the impression you leave when the job goes smoothly.

Bottom line: rent an EXFO OTDR like you’re going to be audited on the decision. Confirm the module, build a TCO, check the calibration records, count every accessory, define the return window, and run a quick acceptance test. It takes twenty minutes. It has saved us a ton of time, money, and awkward phone calls.
